Description

Primary Responsibilities

  • Process requests for records received by phone, in-person, fax, or email according to applicable rules, laws, and policies.
  • Log all records released in the client Electronic Health Record.
  • Maintain knowledge of Authorization for Release of Information rules and requirements including HIPAA and 42 CFR Part 2.
  • Identify and Return Invalid Authorization for Release of Information forms
  • Complete and process Revocation of Authorization for Release of Information forms.
  • Requests records from outside entities
  • Scan and Upload Documents into Electronic Health Record according to the Scanning and Uploading Manual with 100% accuracy.
  • Knowledge of and 100% compliance with Secure Email requirements.
  • Answer incoming phone calls and complete outreach calls.
  • Document contacts in the Electronic Health Record. 
  • Performs routine pulling and re-filing of clinical charts located in off-site storage upon request.
  • Logs and destroys records which exceed retention period explained in Policy No.: MR-002.
  • Retrieve data from Electronic Health Record to complete data entry of Ohio Behavioral Health information (OBHIS) for all admission/transfer/discharges. 
  • Participates in the Form Committee to ensure OBHIS required information is captured.
  • Reports to manager on status of data entry and reports missing information necessary to complete OBHIS data entry. Ensures data is entered accurately 100% of the time.
  • Reviews OBHIS reports on a monthly basis to correct any deficiencies to include but not limited to incomplete admission records, incomplete annual update records and incomplete discharge records.
  • Attends all Carelogic and State meetings necessary to stay up to date with OBHIS requirements and changes.
  • Demonstrates pleasant, professional, and efficient conduct as evidenced by receiving no complaints from callers, co-workers, other agencies, etc. regarding voice tone, accuracy, and responsiveness.

Data processors are responsible for protecting the client's rights to privacy by ensuring that all requests for records are processed according to authorization for release of information standards, in compliance with the Health Insurance Portability and Accountability Act of 1996, The Code of Federal Regulations (42 CFR Part 2), and all other Federal, State, and Local Laws. The role is vital to the overall client care and health management service. Customer service, collaboration, and confidentiality are the top priorities of this position. The Data Processor is responsible for the collection, retrieval, and data entry of all information required under the Ohio Behavioral Health Information System (OBHIS).

Qualifications

Minimum Qualifications:

  • Education: High School Diploma or equivalent
  • Certification:
  • Other: Minimum of one year experience working in the medical record field and/or behavioral health field preferred. Computer experience required.

Knowledge of:

  • State and Federal laws
    • Health Insurance Portability and Accountability Act (HIPAA)
    • Code of Federal Regulations (42 CFR Part 2)
