We are seeking a skilled Medical Office Manager for our offices at Mercy Medical Center, Baltimore, Md.

With a focus on customer service to both patients and co-workers, the Medical Office Manager will set the standard for providing excellent patient service, plan and coordinate the daily activities of the front office staff, schedule and train for proper coverage to meet the needs of clinic flow, ensure compliance with HIPAA/OSHA standards, and will coach and mentor staff to uphold the highest standards of customer service.  We are a very busy eyecare center, so a high level of positivity, patience, and energy is required for success in this position. 

 

Our preferred candidates will bring 5 years of experience working in a vertically integrated ophthalmology practice that includes optometry/optical with at least 2 of those years in a supervisory position.

 

Responsibilities

  • Create and maintain an environment of the highest customer service
  • Manage day-to-day operations of check-in, check out, insurance verification and medical records
  • Develop staff through training, performance management, and creating expectations
  • Maintain and work to constantly improve written clinic policy, and work flows for clinic tasks/responsibilities, including procedures for efficiently using the phone system and EMR
  • Reconcile daily batches and process deposits

  • Oversee financial reporting including claim audits and daily charges

  • Maintain staff schedules to facilitate outstanding patient care and adhere to budget requirements 

  • Input weekly statistics

  • Maintain HIPAA/OSHA requirements
  • Facilitate a positive, collaborative, learning environment

Qualifications

  • Minimum of a high school diploma or its equivalent 
  • 2 years of verifiable employment as a medical office supervisor, preferably in ophthalmology or optometry
  • Proven success managing a medical office team is a must
  • Hands-on knowledge of check in/out process and using EMR a plus
  • Excellent customer service, time management, and communication skills, including listening, speaking and writing the English language; Spanish a plus
  • Proficiency in Microsoft office suite, Nextgen electronic health records and Clearwave.
